Migrating email accounts

Instructions for migrating emails to a community-branded email account.

Within the "Email accounts" section in the Admin Portal, an automatic email migration tool is available. This tool simplifies the process by automatically migrating a copy of emails from one account to a community-branded email account set up in our system. Below is more information on when and how to effectively use this tool!

Benefits

This tool is helpful in a variety of cases! Below are a couple of common scenarios where you may want to migrate emails to an email account associated with your domain on HOA Express.

Free up storage

If you have a community-branded email account on your website that has reached its maximum storage usage, you can migrate emails to a new "archive" email account. This will allow you to log in to the original email account and delete messages to clear up storage space, while still retaining a record of past messages in the new archived email.

External email accounts

If you've been maintaining an email account on another platform (e.g., [email protected]) and want to migrate those messages to a new community-branded email account, this is a simple method to do so!

Additionally, if you previously had email accounts linked to a domain set up elsewhere, you will need to recreate those email accounts after configuring the domain on our system. For a limited time, you may be able to migrate messages from external accounts into a new email account managed by our system. Please verify with your previous provider regarding this timeframe.

How-to

  1. Start by visiting the “Migrate emails” page under the "Email accounts" section in the Admin Portal.

  2. Here, select which email account you want to copy those messages to.

  3. Next, choose the type of account you are migrating from.

  4. After entering the email address and its password, provide the IMAP server details if they are not automatically populated.

  5. Lastly, click the “Start Migration” button to begin the process! You can view the status of the migration in the "Email accounts" section.

Migrating from Google

When migrating emails from Google/Gmail, you’ll be required to verify you’ve completed certain actions before you can initiate the migration. These prompts will include links to where you can complete those actions on your Google account.
